Job Description

We are seeking a Financial Advisor Assistant to join our office to support our financial advisors and assist the Operations Manager with administrative duties of the office. This is a great opportunity for an individual with administrative experience in the financial planning industry to do various tasks and grow as the business grows.

  • Assist with wealth management onboarding process
  • Prepare reports including the mailing of final reports as necessary including client reporting
  • Transaction processing, coordination, verification, and form preparation
  • Assist with preparation for client meetings
  • Answer a small number of phone calls, provide customer service, client needs, etc.
  • Update and use the CRM system efficiently for scheduling, follow up, new contact, tasks, etc.
  • Support the advisors by providing ad hoc reports, answering RFP questions, gathering information, subscription coordination and scheduling
  • Regularly review news items, technology updates and email communications 
  • Sort and distribute all incoming mail and packages, including USPS mail, UPS/Federal Express deliveries, faxes and office supplies
  • Provide assistance for other administrative projects as necessary.


  • High School Diploma or equivalent required; Post-Secondary education is a plus
  • 2 or more years of professional office experience in an administrative and customer service role required; experience in the financial planning industry is  preferred
  • Enjoy working with people and have excellent written and verbal communication and people skills
  • Strong computer skills and proficiency using Microsoft Office suite (Office, Excel, Outlook) and comfortable using technology
  • Knowledge and experience of CRM systems 
  • Conscientious and possess high standards for both quality and quantity of work
  • Strong organizational, reading, writing and basic mathematical skills
  • Excellent typing, spelling and grammatical skills with high degree of attention to detail
  • Team player with the ability to work well with others as well as independently
  • Ability to maintain confidential information 
  • Must pass successful background check upon hiring
