Position Overview

TeamLMI is assisting a well-established and growing home services company near Hershey, PA, in hiring an organized and dependable Administrative & Billing Specialist. This role serves as the structural engine keeping office billing, financial workflows, and back-end operational support moving seamlessly. The ideal candidate is stable, comfortable working within established operational processes, and highly detail-oriented. Key Responsibilities

  • Billing & Invoicing: Prepare, batch, send, and track customer invoices, ensuring that all client payments are captured accurately and posted on time
  • Accounts Receivable & Payable: Support the reduction of aging balances by actively managing collection follow-ups on past-due accounts. Receive, verify, and input incoming vendor bills while systematically tracking discount windows and due dates
  • Bookkeeping Support: Complete daily and weekly core bookkeeping tasks using QuickBooks Online (QBO), actively auditing entries to spot and resolve reconciliation issues early
  • Job & Parts Readiness: Process approved service estimates by reviewing required materials mapping procurement to the correct plumbing jobs, and ensuring parts readiness before project execution
  • Fleet Coordination: Support corporate fleet management workflows by tracking company vehicle documentation updates, registration renewals, inspections, and preventative maintenance schedules
  • Data Integrity: Maintain meticulous system logs, client notes, and structural data corrections within Service Titan (or similar field CRM) according to established internal workflows

Qualifications

  • Education: High school diploma or equivalent
  • Experience: 3 to 5+ years of dedicated experience in administrative support, corporate billing, bookkeeping, accounts receivable, accounts payable, or an adjacent professional office function
  • Industry Familiarity: Prior experience working inside the home services or trades sector (e.g., plumbing, HVAC, electrical, or construction) is highly valued and considered a major advantage
  • Software experience: Hands-on operational proficiency with QuickBooks Online (QBO) is strictly required. Direct experience working with Service Titan or a comparative field management platform is highly preferred
  • Core Capabilities: Exceptional data entry accuracy & typing skills, grammatical precision, and standard mathematical competence. Clear, polished written and verbal communication styles for customer and vendor relationship management
  • Cultural & Behavioral Traits: Highly self-motivated, stable under normal operational pressures, structured in task execution, and possessing uncompromising personal standards for overall quality of work, able to work well with others
